Job Purpose:
Due to continued growth within our live conveyancing teams and to ensure we are able to maintain our excellent service levels during periods of absence or leave, we are recruiting for experienced conveyancer to join our dynamic team as a Cover Conveyancer.
The role will support the Head of Department in the provision of Residential Conveyancing Services by providing legal advice and assistance to clients whilst maintaining an excellent level of customer service at all times whilst the Fee Earner of the caseload is on leave.
Full training will be provided to the Cover Conveyancer as well as continued support by the Supervisor, Background Teams, Conveyancing Manager and Legal Director to succeed in their role.
Your responsibilities will include:
- To provide support and to cover conveyancers who are on holidays and leave to ensure their case load is managed and transactions continue to be progressed to exchange and completion.
- Taking full responsibility for the management of the caseload assigned to you in accordance with best practice and to ensure the achievement of our key targets including client service, exchange/completion, timelines and average fees.
- Comply with all Convey Law policies and procedures.
- Ensure all telephone calls are returned within 2 hours of receipt wherever possible or at the latest, prior to close of business on each working day.
- Verifying client identification and anti-fraud procedures in accordance with the Convey Law Money Laundering Policy guidelines.
- Ensure that all checklist protocols are adhered to.
- Ensure that any complaints are dealt with in accordance with the Convey Law Complaints Procedure, with the support of the Supervisor
- Undertake and complete the Projected Completions Procedure in accordance with Convey Law requirements.
- Review and update the Case Status of each live file within the seven-day requirement.
- Ensure that all incoming mail and email correspondence is actioned and dealt with within 48 hours of receipt wherever possible.
- Conduct an audit on the caseload during the period of cover to identify areas of strength and weakness in the management of the caseload and overall client communication and service.
Essential Skills:
We are seeking someone who has a strong attention to detail, excellent communication skills, with the ability to use their own initiative and work within tight deadlines. You will be experienced with all types of residential conveyancing work including Freehold, Leasehold, Shared Ownership and Newbuild. You will have experience managing a caseload through case management systems and working in a paper free environment.
- Managing your own caseload of Residential property transactions in a conveyancing practice: 3 years
- Title checking: 3 years (Preferred)
- Leaseholds: 2 years (Preferred)
- New Builds: 1 year (Preferred)
- Auditing: 1 year (Preferred)
