Job Purpose:

To support the Learning & Development Manager, Business Development Manager, Tutors, and wider team to ensure all administrative processes are managed to a high standard.

Your responsibilities will include:

To be responsible for a variety of administrative tasks including but not limited to:

  • Onboarding new students and maintaining all existing student records on our internal Learner Management System (YETI).
  • Create Individual Learning Records using student information in YETI and submit data returns to the Education and Skills Funding Agency on a monthly basis.
  • Responsible for all onboarding tasks for new students across a variety of portals and systems whilst ensuring all internal policies and procedures are adhered to at all times.
  • Liaise with employers in relation to funding requests and ensure funding reservations are completed using the relevant government portals.
  • Act as the first point of contact for new students ensuring all welcome information is provided in a timely/professional manner and managing all incoming queries through email and telephone communication.
  • Manage the student feedback process including ensuring sending, chasing, and collating student review forms.
  • Support the Learning & Development Manager and tutors with their regular communication with their students including setting up Teams Meeting or calls, sending assessment papers, and ensuring our service standards are met at all times.
  • Support with our audit and compliance obligations alongside the Learning & Development Manager and ensure all internal policies and procedures are updated and maintained as required.
  • Provide diary management support to the Business Development Manager including arranging teams meeting, organising travel arrangements, updating brochures/documents, and other ad hoc tasks as required.
  • Create and maintain a suite of weekly and monthly reports on behalf of the Learning & Development Manager and Business Development Manager.

Essential Skills:

We are seeking someone who has strong attention to detail, excellent communication skills, with the ability to use their own initiative and work within tight deadlines.

  • Minimum of 2 years experience in a fast-paced and demanding Administrator/Admin Assistant role.
  • Strong customer service skills with a key eye for detail.
  • Exceptional organisational skills with the ability to work under pressure and with conflicting priorities.
  • Able to communicate confidently, and professionally with colleagues and stakeholders of all levels of seniority.
  • Previous experience of managing internal systems/records in a Learner Management, CRM, or Case Management system.
  • Good working experience with all Microsoft Office software including Word, Excel, PowerPoint, and Outlook.
  • Previous experience working within the apprenticeship sector and with ESFA (desirable but not essential).
